Job Title: Contract Support
Locations: Melbourne CBD, position is also available in NSW and NT - enquire within.
Salary: $80,000 plus super

Role Purpose:
To provide effective support to the organisation's managerial and technical staff and provide administration support to the contract. Maintain concise records and details of the organisation and client information to ensure that all relevant targets, customers, contractual, legislative and safety requirements are met.
The role will require close liaison with the contract managers, office team and clients, as well as include various ad-hoc duties that arise.
Key Responsibilities
Customer Service
- First point of contact for requests
- Process calls, emails, and work requests
- Log and monitor complaints and escalations
- Coordinate organisation & vendor resources
Workflow & Administration
- System Champion - CMMS, FSM and Finance System
- Raise, dispatch, monitor, and report on reactive work orders
- Raise, dispatch, monitor, and report on PM work orders
- Coordinate & process quotations for extra works
Finance
- Champion good budget management on account > spend controls
- Raise purchase/service orders
- Monitor 'work in progress' (WIP)
- Monitor ad-hoc spend inc. credit cards & discretionary purchases
- Review & process vendor invoices
- Oversee timely invoice payment/ track & chase debt
- Ensure finance policy & procedure compliance on account
- Review account revenue & margin streams
Account Governance & Administration
- Produce management information and internal performance reports
- Ensure QHSE documentation is maintained and readily available systems e.g. Hazard Reports, training & competency records, PPE, toolbox talks
- Prepare & attend Account Reviews
- Prepare customer reports & dashboards
- Culture and behaviour carrier within the team
- Shares best practice
- Part of CS community within wider business
- Helps connect local account to central support
- Support transitions/set up
Supply Chain & Vendor Management
- Vendor call-out & co-ordination
- Scheduling visits
- Track & monitor vendor works
- Oversee receipt of documentation
- Review & process invoices
Direct reporting line to a Contract Manager, indirect reporting line to Contract Support Lead. Accountability to the functional heads, as appropriate.
Person Specification/Requirements
- Experience in a similar customer facing role.
- Experience in Finance and Administration.
- Well-developed communication and organisational skills enabling the individual to work with Senior Managers, clients, suppliers, and staff of all levels and abilities.
- Excellent written and oral communication skills - both targeted and relationship focused.
- Advanced Computer literacy with Microsoft Excel and Microsoft Office or equivalent.
- Ability to work under pressure whilst remaining calm clear thinking and be able to deliver the required services to the client within given time constraint.
- Ability to prioritise and act on own initiative.
- Must demonstrate a strong sense of customer focus and promote a sense of team spirit and good morale within the office.
Health & Safety
- Develop HSEQ plans for area of responsibility
- Be familiar with HSEQ policies/procedures relevant to area of business.
- Provide a visible and active role in the leadership of HSEQ.
- Embed HSEQ policy requirements throughout operation and ensure compliance with legal requirements.
- Ensure all staff are inducted on company HSEQ policies.
- Ensure all staff have completed the basic training HSEQ modules.
- Organise regular HSEQ update - training.
- Undertake periodic reviews to ensure HSEQ Management System is implemented.
