My client is seeking a highly organised and proactive Executive Assistant to provide dedicated support to two founding directors. THE ROLE
As the EA, you will work closely with the Admin/Operations Team, who work behind the scenes to ensure the projects and office run like a well-oiled machine. You’ll be the gatekeeper for the directors, handling queries and calls with professionalism and finesse. Calendar management, fostering client relationships, and ensuring directors are fully prepared for meetings. You’ll be integral to keeping the studio running smoothly and efficiently.
Key Responsibilities
- Booking internal and external meetings for the two directors
- Providing project administration support when needed
- Managing email communication and filing systems efficiently
- Coordinating conference calls and digital meetings
- Handling paperwork and maintaining organised files
- Arranging travel for the directors and team members
- Handling personal tasks and sensitive errands with discretion
- Supporting the Admin team with general office tasks
- Assisting the Marketing & Communications Manager with maintaining the contact base and business development tasks
ABOUT YOU
- Minimum 5 years of experience in a similar role, ideally in a creative or property-related industry
- Strong organisational skills with the ability to manage competing priorities
- Proactive and enthusiastic approach with a desire to learn and contribute
- Excellent Microsoft Office skills
- Exceptional written and verbal communication abilities
- Friendly and professional demeanour with great attention to detail
- Flexibility and adaptability in a dynamic, fast-paced environment
- Experience managing sensitive information with absolute discretion
