Victoria, Surf Coast, the Yarra Valley and Melbourne.
Position Overview
The Contract Administrator is responsible for preparing and managing contracts,
subcontracts, and supply orders. The primary duties include ensuring head contracts are
correctly executed, supporting project teams in organising and administering contracts, and
providing advice on contract negotiations. Additionally, the role involves reporting the
financial and contractual status of ongoing projects.
Key Responsibilities
- Prepare and administer head contracts, subcontracts, and purchase orders in collaboration
with the Finance Manager.
- Manage progress claims, client invoices, and monitor debtors to ensure timely payments.
- Maintain variations registers, monitor costs, and provide accurate cost forecasts in
conjunction with the Project Manager and Finance team.
- Submit financial reports, including Profit & Loss and project cost reports, ensuring accuracy
and adherence to timelines.
- Handle contractual communication, including RFIs and EOTs with clients, architects, and
consultants.
- Mentor and delegate tasks to junior staff while overseeing job cost coding and progress
claims.
- Collaborate with Finance to track work-in-progress (WIP) and profitability for each project.
- Perform additional tasks as required.
Qualifications & Experience.
- Tertiary qualification in Contract Administration, Construction Management, or related field.
- At least 8 years of experience in the construction industry (domestic or commercial).
- Strong communication and stakeholder management skills.
- High attention to detail, problem-solving ability, and experience with Microsoft Office.
- Financial acumen to manage budgets and monitor project costs.
- Experience in mentoring junior staff is a plus.
