Hays are partnered with a State Government organisation, who are the control agency for flood, storm, tsunami, earthquake and landslide emergency; they lead in the preparation and response for those hazards. This organisation works within the broader emergency management sector, wherein all agencies and services work as one to ensure the safety of the Victorian community.
Your new role
The Facility Support Officer is responsible for managing the maintenance of facilities, including developing annual maintenance plans and collaborating with the Infrastructure and Property Project Group on capital works. The role involves sourcing and managing contractors, ensuring health and safety compliance, and maintaining high levels of customer service. The Officer provides regular reporting on maintenance, lease status, and budgets, and supports grant applications and advocacy efforts. Some travel and out-of-hours work may be required; additionally the role ensures procurement aligns with company policies, oversees financial management within the regional portfolio, and assists with leasing activities and facility administration. You will also be responsible for:
- Manage contractors undertaking works, ensuring obligations for contractor management are met.
- Manage queries and requests, ensuring high levels of customer service are maintained, in line with department Service Level Agreements and Key Performance Indicators.
- Regularly meet with region stakeholders to discuss and address emerging issues and trends.
- Develop and maintain relationships with Unit Management teams, supporting facility improvement activities in line with organisational and local business plans.
What you'll need to succeed
To be successful in obtaining this opportunity, you'll hold an extensive track record of successfully managing end-to-end construction project management including people management. You will also need:
- Tertiary qualification in facilities management, property management, or a related field is preferred. Significant experience in facility maintenance, contractor management, financial oversight, and stakeholder engagement. Understanding of Victorian procurement policies, health and safety regulations, and proficiency in relevant systems and software. Experience in coordinating facility maintenance and minor capital works, including developing and implementing maintenance plans.
- Demonstrated ability to source, engage, and manage contractors and suppliers while ensuring compliance with safety and organisational standards.
- Strong skills in managing customer queries and requests, maintaining high service levels, and building effective relationships with stakeholders.
- Experience in preparing maintenance and budget reports, managing procurement activities, and ensuring financial compliance and value for money.
- Knowledge and experience in implementing health and safety practices, ensuring compliance, and working with health and safety teams.
- Experience in supporting grant applications and developing advocacy documentation for facility improvement.Ability to assist with lease management and facility administration, including supporting senior management with briefings and reports.
